Direct Billing and Insurance for Physiotherapy in Edmonton

Direct billing means the clinic submits your physiotherapy claim to your insurer at the time of your visit and receives payment from them, so you pay only the portion your plan does not cover. At Next Step Physio & Neurorehab Clinic in Edmonton, we direct-bill many major extended health insurers, WCB-Alberta and motor vehicle accident insurers.

All you need to bring is your insurance card or policy details. Reception checks whether your insurer accepts direct billing from our clinic and lets you know before treatment begins. Direct billing is available at our Millwoods clinic.

What direct billing covers

Direct billing is available for most services we offer, subject to your plan:

  • Physiotherapy, including pelvic floor, vestibular and neurological physiotherapy
  • Massage therapy by a Registered Massage Therapist
  • Acupuncture by a Registered Acupuncturist
  • WCB-Alberta claims for accepted work injuries
  • Motor vehicle accident treatment through your auto insurer

Each insurer decides which services and providers it will pay for, how much per visit, and how much per year. Some plans cover a percentage of the fee; others pay a fixed amount per visit. Anything not paid by the insurer is your responsibility and is due at the time of your visit. We will always tell you if a claim is declined or only partly paid.

Which insurers do you bill directly?

We work with many major Canadian insurers and benefit providers, but the list changes as insurers update their systems and plan rules. Rather than publish a list that may go out of date, we ask that you call reception with your insurer name and plan details. We will confirm whether direct billing is available for your plan and for the service you are booking.

If your insurer does not allow direct billing, you pay at the clinic and we give you a detailed receipt to submit yourself. Most insurers accept online or app-based claims, and reimbursement is usually quick.

If you have two plans, for example your own and a spouse’s, we can often bill the primary plan and give you documentation to submit the balance to the secondary plan.

How direct billing works, step by step

Direct billing is simple from your side. Here is what happens behind the scenes.

1
Bring your details:
At booking or your first visit, give reception your insurer name, policy or group number and member ID. A photo of your benefits card is enough.
2
We check eligibility:
Reception confirms whether your insurer accepts direct billing from our clinic and whether a doctor's referral is needed for reimbursement.
3
You receive treatment:
Your physiotherapist, massage therapist or acupuncturist completes your session as usual.
4
We submit the claim:
After your visit, we send the claim electronically to your insurer using their portal or clearing house.
5
Insurer responds:
Most insurers respond within moments with the amount they will pay. Some claims take longer or are placed in review.
6
You pay the balance:
If the insurer covers only part of the fee, you pay the remainder at reception and receive a receipt for your records.

If a claim is declined, we explain why and provide a receipt so you can follow up with your insurer or submit manually.

Things that can affect your claim

A few common situations can cause a direct-billing claim to be reduced or declined:

  • Your annual maximum has been reached
  • Your plan requires a doctor’s referral or a pre-authorization for physiotherapy
  • The plan has a per-visit limit lower than the clinic fee
  • Coverage for a family member has not yet been activated
  • The claim relates to a work or motor vehicle injury, which must go through WCB or the auto insurer rather than your extended health plan

You remain responsible for any balance not paid by your insurer. Keeping track of your remaining coverage each year is a good habit, and reception can help if you are unsure. Please tell us about any change in your plan or employer so our records stay current.

FREQUENTLY ASKED QUESTIONS

FAQ

Getting set up

What do I need to bring for direct billing?

Your insurer name, policy or group number and member ID. A photo of your benefits card on your phone works well.

Do I need a doctor's referral for insurance?

Our clinic does not require one, but some plans do for reimbursement. Check your plan or ask reception to look into it.

Can you check how much coverage I have left?

Some insurers show remaining balances when we submit a claim; others do not. Your insurer's website or app is the most reliable place to check.

Do you direct-bill massage and acupuncture?

Yes, where your plan covers those services and the insurer allows direct billing from our clinic.

What if my insurer is not on your list?

You pay at the clinic and submit the receipt yourself. Most insurers reimburse within days when claims are filed online.

After the claim

Why did my insurer only pay part of the fee?

Plans often cover a percentage of the fee or a fixed amount per visit. The rest is your responsibility.

What happens if my claim is declined?

We tell you at the visit, provide a receipt and explain the reason if the insurer gave one, so you can follow up.

Can I use two insurance plans?

Often, yes. We bill the primary plan directly and give you the paperwork to claim the balance from the secondary plan.

Can I use my health spending account?

Usually. Pay at the clinic and submit the receipt to your HSA, or ask reception whether your provider supports direct billing.

Do WCB and car accident claims work the same way?

They are billed to WCB-Alberta or your auto insurer rather than your extended health plan. See our WCB and MVA claims page for details.
